Getting verified

Verification is a document review by the platform team. It is what lets your organisation be named as a promoter, and what unlocks withdrawing revenue and the project types that need a verified business.

What verification is

Verification is the platform team's review of your organisation profile and the documents behind it. An organisation moves from Draft to Pending when you submit it, and from Pending to Verified or Rejected when the team decides. Nothing is automatic and nothing is deleted along the way.

What it unlocks:

  • Withdrawing revenue. Revenue from a season launch cannot leave the platform until the organisation is verified. Instant launches are the exception, because their distribution never happens on the platform.
  • Raises and NFT collections. Both need a verified organisation and a paid plan before they can be created.
  • Official rules. A community season's official rules name the organisation as promoter; they cannot be generated for an unverified one.
  • Projects on the Free plan. Free cannot create a project on an unverified organisation. Plans that defer verification can — see Plans and what they change.

Documents are filed against a subject

Each document is uploaded under the subject it is about. The same passport means something different depending on whose it is, so choose the subject first, then the document type.

SubjectWhat is requiredAccepted document types
CompanyOne company documentCertificate of incorporation, articles of association, shareholding documents
Major share ownerOne photo ID and one proof of addressPassport, national ID or driving licence; bank statement or utility bill
Applicant (if declared)One photo ID and one proof of addressThe same as the owner

The legal representative is never asked for documents. Proof of address belongs to a person, not the company: a bank statement filed under the company does not count.

File rules

  • PDF, JPG, PNG or WebP, up to 10 MB per file.
  • Files are stored privately and encrypted; they never sit on a public network. Opening one uses a link that expires after a few minutes.
  • While the organisation is not verified you can delete a document and upload a replacement.
  • Once the organisation is verified, its documents are locked.

Submitting

Press Submit for verification on the organisation page. Only a Draft or Rejected organisation can be submitted, and the platform checks the set before it goes: at least one company document, and for the owner and any declared applicant one ID and one proof of address each. If something is missing the button tells you exactly what — for example "Upload these before submitting: the Applicant's proof of address" — and nothing is sent until it is there.

While the organisation is Pending its profile is locked; the platform team reviews what you submitted, not a moving target. Your projects keep running as normal.

The decision

  • Verified — the organisation can house every project type its plan allows, revenue can be withdrawn, and its documents are locked. An Organisation verified alert appears on the Alerts page.
  • Rejected — the team gives a reason, shown on the organisation page in place of the status line, and the alert is flagged as needing action. Edit what was named, upload anything that was missing, and press Fix and resubmit. There is no limit on resubmissions.

Staying verified

A verified organisation stays editable. Cosmetic changes — website, mission, logo, phone, sector, email — keep it verified. Changing anything verification relied on — the registered name, the registration number or authority, the address, the owner, the legal representative or the applicant — sends it back to Pending for another review, and documents can be added again until the team decides. Projects keep running throughout, but revenue withdrawals wait until the organisation is verified again.
